Are you a proactive, highly organized individual with strong communication and interpersonal skills? We are looking for an Executive Assistant to join our company and provide essential administrative and organizational support.

Responsibilities:

Support for the Managing Director and selected members of the Management Team:

  • Efficient diary management, scheduling, and coordination of internal and external appointments
  • Preparation and follow-up for meetings, including drafting presentations, minutes, and reports
  • Acting as a liaison between internal and external stakeholders
  • Ensuring smooth communication flow within the organization

Office Management:

Overseeing the organization and smooth running of the office operations

  • Managing office supplies, equipment, and services
  • Coordinating with external service providers and suppliers
  • Supporting the onboarding process for new employees regarding office-related matters

Fleet Management:

  • Administration of company vehicles (insurance, leasing updates, and maintenance coordination)
  • Ensuring compliance with legal regulations and internal policies regarding the vehicle fleet
  • Optimizing fleet costs and ensuring sustainability practices are in place

Facility Management:

  • Overseeing maintenance and organization of company facilities
  • Coordination of external service providers and suppliers
  • Ensuring an optimal working environment for employees
  • Budget planning and monitoring for facilities

Event and Offsite Organization:

  • Planning, organizing, and executing internal and external events
  • Handling logistics, location management, and participant coordination
  • Preparing and managing event budgets

Additional Tasks:

  • Preparing and maintaining documentation and reports
  • Proactively supporting ad-hoc projects and special tasks
  • Ensuring adherence to data protection and compliance guidelines
